zoho is an all-in-one online offer suite that provides nearly every tool that businesses require to optimize performance and within this abundant office suite zoho also offers a full feature free crm software which is ideal for small businesses looking to get started with a free crm hey team welcome back to another beginners tutorial and if it's your first time joining us then my name's stuart thanks for popping along now today i'm excited to dive into the zoho tutorial for beginners and guide you through how to make the most out of zoho's free crm software for small
business now if you have a small team of up to three people and you're looking to collectively engage and enhance your customer relationships and streamline your sales process within your small business then this zoho crm tutorial is for you now before i walk you through zoho's free serium and if you haven't yet subscribed consider doing so and that way you'll stay updated with actionable videos and tutorials designed to equip you with the skills and knowledge to grow your small business online and with that covered let's jump over to my computer and let's get you started
with zoho's free [Music] crm [Music] okay so here we are at zoho's website and this is where we can sign up to the free crm software now it's quite hard to actually find this page the free cerium so what you want to do is click the link in our description or if you jump over to google you can type in zoho's free ceram and you'll be able to find the link to this page now once you've arrived at zoho's free crm the sign up page all you need to do is enter your details here or
come down and sign up with google now we prefer to sign up with google because we like keeping everything in one place so once you've arrived here come down and select sign up with google then here what you want to do if you decided to sign up with google is select your google account that you want to sign up to zoho crm with so we're going to go ahead and select this google account then here what you want to do is make sure your country is selected and then come down here and select i agree
to the terms of service and privacy policy now you can click on terms of service and privacy policy if you want to read more information about their policies but for now we're going to come down and click continue and now you should have just arrived to your zoho crm dashboard now because this is a beginner's tutorial we're actually going to guide you through all the essentials you need to know to get started with zoho's free crm so because of this what we're going to do is actually skip these two options here and come down and
click skip and congratulations just like that you have completed the initial setup of zoho's free crm so here we are on your dashboard okay so just quickly what we're going to do is navigate through the zoho dashboard so you have an understanding of the elements and features that you need to know within the free crm zoho's free crm and then what we're going to do is dive deeper into the features that the free crm has to offer and what you should be taking advantage of okay so first things first let's cover the dashboard so over
here we have some of the different elements that we're going to cover soon then on your dashboard we have open tasks so we're going to talk more about tasks later on this is basically where you can see what's actually going on within your crm when it comes to your customers and then we have closing this month which are just deals that are about to close this month so you can see all the current deals and again we're going to talk about deals later on then over here we have today's leads and again we're going to
guide you through how to create leads shortly then up here you can see that we're on the free version you can upgrade at any time if you realize you need more features more of the extensive features within the paid plans then over here you can actually search anything across your zoho crm if there's anything you need to locate then over here we have a referral program which we're not going to talk too much about and then this bell icon is basically all your notifications to keep you updated with what's happening within your crm and with
your team then over here we have a shortcut to these different elements within your crm so again this is just a shortcut to quickly adding contacts leads accounts and all these different elements here then over here we have your calendar again you can skip through your calendar and you can set dates and then over here we have your profile this is where you can add information to your profile you can edit your profile again you can sign out then if we exit out of that one we have more applications here so you can search for
specific applications that you want to integrate into your crm now again a lot of these are paid some of them are free but because this is a beginner's tutorial we're not going to dive into the app integrations today we'll set up another tutorial which will guide you through a lot of these apps important apps that you should be integrating with your crm so again we'll click that to exit then navigate down to these three dots click here and this is where we can actually add components so customize the way that our dashboard looks so for
example at the moment we've got open tasks closing deals this month and in today's leads we can click add component and then we can select another module for example we could click activities then we could select a custom view and we can select all activities or calls or any of these options down here so for example i could select all activities and then i could give this a name so i could just call it all activities and then come down and click save and as you can see we have another component which is all activities
and this is where we can see all our activities again you can come up here and add other components if you like then we can also reorder our dashboard structure and then we can view in a full screen but i'm happy with that so that's essentially your dashboard now what we want to do is navigate through these different features so first of all if we head over to leads this is where we can track and create our leads so for example you could come down here and you can actually import leads so if you want
to follow this process you can do so it's quite straightforward zoho will provide the information to guide you through this process but what we want to do is quickly create a lead so click create a lead and here what we can do is add all the information about our new leads so for example if someone called us and they became a lead and we had some of their information over the phone what we want to do is add that information here because we've just acquired a new potential lead so i'm going to go ahead and
quickly add all this information here and as you can see here i've just quickly added some information about this example lead now this is just a tutorial so this is just an example of what you can do when it comes to adding a new lead now you don't have to add all this information just what's relevant for your business now for the purpose of this tutorial we're just going to say that we are a digital media and marketing company which we actually are and then what we're going to do is we actually build websites for
small businesses as you can see we've got sam's cafe he is the owner here we've got his details down here lead source advertisement because they saw an advertisement online and then they reached out to us via a phone call now you can select any of these that that is your lead source but for us that is advertisement then small medium enterprise you can add an annual revenue if you like but for us we're just happy with this simple information here again rating they are currently active they've called through to us so we're going to contact
them in the future when we've actually put a proposal in place for their web design so this is just an example again you don't have to add all this information just what works with your small business now when you're happy with your leads information then come up here and click save and as you can see we've just added our first lead sam smith from sam's cafe now again you can edit all this information if you like you can see more details down here and then you can add a note so for example if we haven't
yet followed up on this particular lead then we can add a note in here and say need to follow up with quotes i'm happy with that come down and click save so we've got a note there for me to keep an eye on then again we have attachments if you want to add an attachment we could add a task a meeting if the meeting's coming up or a call then we have closed activities and emails invited to a meeting campaigns and social information here and that is essentially how you can add a new lead to
your zoho crm very straightforward very simple then on the left hand side we also have a timeline so basically what's been happening the interactions the activity with this particular lead then we also have information down here so basically everything here we have the related list on the left hand side then over here we can send an email to this lead we can also convert this lead into a customer if we like then we can further edit information about this lead then over here we have more information like clone we could clone this particular lead and
change a few details we could delete we can print a preview and then we have these other options down here but that is a basic overview of understanding your leads now if we want to convert this lead for example they've turned into a customer what we could do is click convert and then we could come over here and click create a new deal for this account so for example if there was something else we were working towards with this customer we're trying to close them on another project then we could create a new deal here
then we can also come down here and click convert or cancel but for now we'll leave this lead as a active lead so we're going to click cancel and now what we want to do is navigate up to contacts and this is where you can quickly add contacts so again you can import contacts and zoho will guide you through that process or you can come over here if you're just getting started you have a new small business and you just want to quickly add a contact you can do that here or add a few contacts
so we're going to create a contact now and again we're going to quickly go ahead and add our contacts information in here and again as you can see i've quickly added information about this new contact now because we are a small business and we work with small business owners you can see that this is a business owner we actually cold called this individual so we called them and we grabbed all their details over the phone and added their information in here so go through all this information and add the relevant information based on your business
your small business type then come down here you can copy your address across from here if you like again this is just an example so we've just jotted example street usa then down here you can add a description about this contact so this was a new customer that we called called so once you're happy with your newly created contact come up here and select save and as you can see we've added our first contact our first customer mr jack fisher from king clothing cats now this is just an example this is not a real customer
so what you want to do is go ahead and do that add your customers and leads again it's essentially the same process from adding a lead to adding a customer very similar process and just like that as you can see you can manually add leads and contacts through your zoho crm or you can also import it through the dashboard so bulk import and zoho will guide you through that process but i'm happy with that what we're going to do now is navigate over to accounts okay so here we are on account so this is where
you define your customers so for example your contacts are your contacts within organizations so the end user and then you have your accounts now accounts are business to business so b to b so think about your contacts is b2c and then accounts b2b so business to business now here is where you add organizations to your crm so for example we are b2b we provide website design for small businesses and therefore what we want to do is add those businesses in here so we'll quickly show you how to do this it's very similar to adding a
contact so come down here and click create an account now here what i'll do is i'll quickly just add the new account details in here and then i'll guide you through all the fields so i'll just quickly fill out this information now and as you can see i've just quickly added the new account information so as you can see this account is managed by myself then down here we have the name of the account and we have this other information that we've added down here account number account type their customer industry small medium we have
an added revenue they are an active account an active customer then we have their phone number and then other information down here again you don't have to enter the information if it's not relevant to what you're doing within your crm with your accounts that you're managing then you can add the address information down here of this account and a description if you like once you're happy with that information about your new account that you've just added so remember business to business this is a business customer then come up here and click save and just like
adding a contact you can come down here and you can edit all this information but for now i'm happy with that so i'm going to come up here and select deals now deals is a core feature within a good crm basically this is your sales process your sales pipeline and with deals this is where you can actually manage and track your sales process your sales pipeline and essentially monitor your overall performance so this is a core component to a good crm and that is streamlining your sales process so we're going to come down and click
create a new deal now here you just want to quickly fill out this information so i'm going to go ahead and quickly do this and then guide you through the fields that we've filled out so there we have it this is one of our pipelines one of our deals and as you can see we've got myself here that's managing this deal then down here we have the deal name which is a website design so standard web design then we have the account name that is moving through the sales process then we've come down here and
added the business type the next step is a closing meeting then they convert into a customer we have a lead source they found us through advertisements then we have the name of the contact that's associated with this account then over here we have the amount of the deal so it's a ten thousand dollar project we have a closing date of two weeks from today and then down here we have negotiation and review so again if i click on stages you can see that once we've had a closing meeting then they'll become closed and one so
they would have converted into a customer so you can select the stage that this represents your new deal with that particular account and then come down here and the 90 yep that sounds about right expected revenue okay that's based on the analytics so this is measuring how far you're getting through your sales process and the figure associated with this stage and you can come down here and add a campaign source if we've created any campaigns but we're not going to talk about this right now and then when you're happy with all this information you've added
a description come up here and click save now you can see this is the new deal up here so web design standard ten thousand dollar project we have this information we just added earlier and then they are currently in negotiation and review stage of our sales pipeline and then over here you can see closed and one so if this customer has converted we had our final meeting and they converted into a customer i could click here and i could enter this information here so the amount that i won then the closing date stage so one
down here or i could select closed lost and that would update this figure over here so for example i could cancel out of that one and the same process is with closed lost so if i clicked here i could click the amount closing date stage loss and reason for losing so i can cancel that one and again you have closed loss to competition so that's your sales pipeline over there you can add notes and again there's other information down here that we briefly talked about which is very similar to accounts and contacts so very structured
very easy to navigate throughout all these different sections within your crm it's very similar each layout so it's easy to understand and navigate through each of these sections then you have the same information on this side now just quickly what you can also see within your deals is your stage view so this is where you can actually visually see your pipeline your sales pipeline your sales process now as you can see we've added this account this customer within negotiation and review now let's say for example i called them within the next week and i closed
this deal i would move them over to closed and one and as you can see that figure moves over to closed in one and we have received the ten thousand dollars or if i didn't close this deal i could move this particular client over to closed and now i've lost ten thousand dollars because they are now a lost client but again they are still in negotiation and review and this is where you want to add all your accounts and customers to the different stages of your deals so as you can see we've only created the
one deal but it's very straight forward okay so now that we've added a lead a contact an account and also created a deal what we can do now is head over to activities now under activities we have a few options to select based on our business type now this is an important component to any crm and this is all about tracking your customers interactions so for example how do you follow up with your customers these are the three options we have so if i click log call this is basically scheduling a call now we have
integrate your phone system however this is unavailable with the free zoho crm so we have the three options down here again how do you follow up with your customers so if you select schedule a call all you need to do is enter this information down here so i'm going to cancel that or you can create a meeting so if i select that again you can just add the information about your meeting or cancel that one and then you have create a task so if i select create a task this is where you can create a
specific task so again i'm going to click activities and head back to this dashboard what i want to do is select create a meeting and i'm going to quickly fill out this information and guide you through this so i've quickly added the information as you can see i've got a new meeting with jack the location is our office then we have the date so it starts at 9 a.m through 2 10 a.m on the 17th of september so a week from now and then the host is myself and then over here we have participants so
if i select add you can see that i've added jack because this meeting is with jack and you can add other emails down here if you have a meeting with other individuals so i have a meeting with jack who is a contact i can also come up here and select leads so for example i have sam smith if this was a meeting about this particular lead then i could select sam smith again i want to go back to contacts or i could come up here and select users so this could be a meeting with someone
within my organization so at the moment it's just me using this crm and remember you can have up to three users within the free zoho crm so i'm going to go back to contacts and i'm happy with jack because that's the meeting it's with jack and as you can see we have related to lead actually i'm going to select none i'm happy with that and you can add more details here but i'm happy with that so i'm going to click save then you can send invitations to your guests that are part of your meeting so
what you do is click send and then they will get notified of this meeting and all the details associated with this meeting but for now i'm going to click no don't send and as you can see within our activities we have one meeting coming up within others because we didn't label this meeting we could have put it under leads open deals or customers but we didn't label it so we have one meeting coming up and others now if you want to schedule another meeting and follow up with a customer a user or a lead then
you just need to come up here and either create a task a meeting or call and it's very straightforward as we just showed you and this is where you can see all those meetings all those activities that are happening with your customers or with your users now if you come over to all activities this is where you can essentially filter through all the different activities that you want to see on your activities dashboard but i'm happy with that for now as we only have one activity and that is a meeting so now that we've covered
activities what we want to do is head over to reports okay so now we're just going to quickly guide you through the last few elements and features we want to cover within the free crm as a lot of these are limited because this is a free crm so essentially reports is quite self-explanatory this is where you can create custom reports based on all the analytics within your crm so for example you can come down here and create a report based on your key accounts pipeline by priority leads by ownership and all these different reports that
you can generate through your zoho crm so go through these reports and find the reports that best resonate with your business and the analytics that you want to record then we have feed so if we click on feeds so your feeds are essentially your activity feed so this is the interactions with your teams the progress with deals the progress on leads on customers this is essentially your activity feeds so it helps you stay up to date with what's going on within your crm you can interact with your users you can attach files you can essentially
stay up to date with everything that's going on within your organization then if we navigate over to these three little bars we have campaigns so if you select campaigns and this is where you can create campaigns again there's limitations with your campaigns within the free crm and we're going to talk more about this in another tutorial as this is just a beginner's guide and kind of run down to get you started with the free crm so play around with campaigns if you like then navigate over to these three bars and come down to documents now
documents is essentially where you can upload and store documents within your crm so you can head over here and check out your library and see the videos music photos documents that people have added your team has added to this crm so it's a place to store information then if we navigate to the three bars again the final element we want to talk about is visits and again this is limited with the free crm and we're not going to talk about this today but this is essentially tracking the leads the users on your website so you
can qualify leads based on how many people or the type of lead that's visiting your website so it's great to analyze what's happening on your website so you can target specific users and you can qualify particular leads so again this is more advanced information that we're not going to talk about today i will talk about this in another tutorial which we'll put together shortly but that is it for today's crm it's a basic guide to kind of help you get started with this free cerium so you understand how it all works and to see if
it essentially works with your business and your crm related goals and remember you can upgrade at any time when you believe that the features are limited within the free serium you can upgrade to a paid plan and use all the extensive features within zoho and there we have a team that is it for today's beginners tutorial you should now be comfortable with getting your small business started with zoho's free crm now if you have any questions about this zoho tutorial then make sure to leave them down below and with that said thank you so much
