In this video, we'll be going over reports, refunds, and the dashboard view. They're all pretty quick. So, first for reports, you will click on reports from the lefth hand menu.
And the first report is the outstanding invoices. I'm just going to go to 2026 and just select January 1st. Of course, this is a test system.
So, you can see these are the unpaid invoices. You can see whether the jobs are completed or not. And what's nice about this is that you can also I'm just going to rightclick, but if you click on the invoice, it will load that invoice for you in a nice clean filtered view.
So from here, you can send the invoice to the customer or you can take the payments as was shown in the invoice video. You can also, which is a really nice feature, I'm just going to right click so it loads in a new tab. You can click on the name of the contact and then from here you can also quickly jump to the invoice view of that contact to pay multiple invoices at a time.
The next one is payment detail. I'm just going to change the date to 2025 cuz I don't have many payments in this test system. I'll just do September 1st.
So these are the total payments. These are the product types which is something that can be shown in training. And this is the total amount that has been that has come into the system.
And you can see it'll show the subtotal, total discount, total tax, total invoice amount compared to total amount paid. And of course, you can export every report. You can print or do export to CSV.
Then we have the refunds. Don't think I have any refunds in the system. Let's see.
I do have a few. And it's the same idea where from here you can jump to the contact view if you want to see and it shows the refund date. It shows all the refund information.
And since I'm showing the refund in the report, I'm just going to go to the invoice page, load it in a new tab, and just show how to do refunds. Let me see if I have one. I think I have the split view here.
So, we have a feature that wasn't shown on the invoice intro video, but there is a way to split paid and unpaid. very popular feature with our shops cuz this way you can set it up so the invoice page only shows paid invoices. So you can go to any paid invoice and you can select to do a refund.
This is a zero amount. That's why there's no refund. Let's go to one that's not a zero amount.
And you can go here and select refund. And you can refund the total amount or you can type in another number and it'll do a partial refund. And of course that will then show up in the refund port.
And the money through FISve or if you're using another payment processor will of course be refunded to the customer. We have commission which shows total commissions where you can set it up with the salesperson user role. You also have lead sources which can be further explained and salespeople.
It's another way of calculating commissions. This is the more popular way. It shows total sales, people commissions, how many total sales, how many were converted and so on and so forth.
And then we have profit and loss. So you can set up every product with costing pricing fields and you can set up vendors of course. So if you're outsourcing, it knows to load.
Uh you see are the product cost, the vendor cost, the labor cost. These are all things that can be explained in in training calls. This is for your bestselling contacts.
Just going to go to 2026 just so it doesn't load a huge list. So these are your bestselling customers. And of course you can click here and it'll sort it.
You can also go to same idea bestselling companies and bestselling products. You can also set up your cost of goods sold. This is something that could be set up in inventory and it could be explained in training.
time log and daily production have to do with using the the the time log in production and that can also be explained on the training calls. So let's go to the dashboard now. And the dashboard the first view that you see over here is a list view.
And as can be explained in training, you can customize of course what columns here are shown. You can show the name of the salesperson. It's any column you want can be shown here.
And this is fully searchable. And you can always jump to that one um line item. Just to show you, if you click here, it it's the same idea that I showed in the report.
It basically filters the view for you. So, you can just see that one line item. In the same way, we have this canban view, but for your shop, this is a very popular view.
And just keep in mind that this is actually sticky. So, if I go somewhere else in the system and I go back to my dashboard, it will save this view. Most shops like to stay in this view.
And here if you have leads turned on, it shows you everything. It shows you the status of every job or lead in your or estimate in your shop and it shows the status of it meaning open and as well it'll show paid and unpaid. And with all of that shops as well as to get a separate list here of paid and unpaid and this is all searchable and the same way you can click on it and it'll filter that view for you.
And then we have uh calendar view which is also very popular and shops like to load this on a separate screen on a on a monitor and it will place all the jobs based on their due date into the day when it's due. And you can also print this. This is an okay feature.
We tried our best but it doesn't always fit you see so perfectly. But we have shops who like to print out the calendar which is why we did this. Thank you.
