hello everyone and welcome to the Daily highle workflow video module 2 in this video we're going to be discussing um basically what will what will be your daily workflow what will be your daily actions when it comes to running high level when it comes to um managing new leads and managing uh database re activation really just sort of this a step-by-step process that you will that you will follow every single day or a member of your team or you know team members um there will be a sheet provider with this as well really just so you know exactly what you need to do every single day sort of um some pointers that you want to remember daily um and yeah it'll be a little B little bit more clearer um once I jump once I jump into it so without further Ado let's jump into it so here's what we're going to cover uh we're going to cover the daily high level workflow so the sort of just the daily process that you'll be going through every single day um with this program with high level um and you know with leads and booking appointments and stuff like that so we're going to cover the step by step cheat sheat we're going to go over it and I'll show you exactly um you know how certain what's how you how you need to do certain things um and after this video you should really be ready to basically um should really be ready for database reactivation you should be um you should know how sort of high level Works um you should be ready to uh book appointments you know handle no shows handle cancellations talk to people stuff like that and after that we've got action items so the daily highle workflow chatchi so I'm going to hop over into that right now and we're going to go over it step by step so I'm going to go hop out of this PowerPoint um and we're going to go over into the sheet so the daily highlevel workflow Chi-Chi um so use this workflow daily with high level for optimal results works for both database reactivation and new prospects watch six which you're watching right now daily high level workflow for more detailed instructions plus examples so there'll be a download uh below this video and also um a link um and where you you can download this uh for yourself or you can make a copy um and put it in your bookmarks I recommend putting it in your bookmarks as you're going to be um if you're doing everything correct doing this daily anyway so daily schedule log in to high level every single day before 10:30 a. m. and in the evening between 6:00 and 9:00 p.
m. the reasoning behind this is that all the follow-up messages are scheduled for 10:30 a. m.
that's why we want to make sure that we schedule all appointments before that to prevent prospects from reing leing unnecessary follow-up messages it's also good for answering questions checking calendars SL appointments unsubscribing people adding buddies canceling appointments really just high level workflow that comes with it so you're going to want to check high level especially when you're running uh Facebook ads for example or you're doing a database reactivation campaign um you're going to want to check high level every day before 10:30 a. m. I always recommend just doing it you know um when you've got some free time in the morning um when you open up stuff like that um because followup messages are scheduled for 10:30 a.
m. so people who didn't respond to a um you know a question or something like that all those types of messages will be sent out 10:30 a. m.
but we want to make sure that the people who actually do respond and give us a time for example um for the appointment don't get an unnecessary followup message as they've already opted in and they've already given you a time right so the first sh you're going to be uh wanting to be doing is um so the first thing we're going to cover is no shows so no shows will become a very common part of your day and the trick is to handle them correctly so don't beat yourself up about no shows it's a part of every single business we have no shows right it's a part of every single business um and with the strategies in place and the systems we're going to obviously try to get as many no shows back in um but this is going to happen no matter what so the first thing you want to do when a prospect no shows for an employment is to go to the conversation section and find the prospect that no find the pro at Nos and make sure they didn't cancel beforehand or message you that they weren't going to make it as that wouldn't be no show but a cancellation so I'm just going to hop over into the high level right here in the dashboard and you're just going to go to conversations um and you're going to go to you know recent or just your leads and find the lead um that's scheduled for an appointment and you're just going to want to make sure that you know there's you know there will be appointment reminders this just from the previous videos it's just a dummy Prospect and you're just going to want to make sure that after the appointment reminders you didn't get any messages um saying like hey I'd like to cancel my appointment or hey I really can't make it I'm sorry you really want to make sure that they know showed SL ghosted you which is basically um you know them really just not showing up for an appointment and also not letting you know right so step two after you've made sure the prospect has actually no showed tip don't be afraid to give them one call usually he she might just be late like guys if you're waiting for an appointment you schedule it for say 10:00 a. m. or 12:00 p.
m. you know doesn't really matter and they're 5 minutes late and you're already ready to kind of put them in the noow campaigns and stuff like that you know wait wait 15 to 30 minutes and don't be afraid to just give them one quick call they might just be late they might be running into some traffic you know they might be bringing their kids to school stuff like that just give them one call if you want if you've got the time don't don't be afraid to do that um after that change their status from confirmed to no show right and the way we're going to do that is so we've also um you're going to go to scheduling appointment so I'm going to do that right now um as that's the first step you want to do when a person like actually know shows so you're going to go to appointments has the noow should have had had an confirmed appointment in either the FB calendar or the Drcalendar right and you're going to want to find the lead that no showed um and he should have a confirmed tab right here so the simple thing we're just going to do right now is just add them to noow and just press okay you're going to refresh this tab right here and taking a second to load now which is fine of course I have I have had this high level tab open for a long time so so yeah there we go bam this lead should be going to noow you can check by going to conversations uh and this message should have gone out hi uh sorry we miss you when do you think you might like to reschedule right and then Drthey should be added to the active campaigns Drnoow and also the added to the opportunities noow right which is right here noow and then bam that lead should have gone to noow um and it just uh kind of freshen your mind up uh the noow campaign is you know the D noshow campaign or the FB no-show campaign um right and then you that these message will be sent out so first this immediate message and then hi we'll looking forward to seeing you when do you think you might like to come by right so um as you can see these ones will be sent out around 10:30 a. m.
that's why you want to do this all beforehand right as you don't want these messages sent out if they responded to the first message okay um so Mo uh move over to the conversation make sure they've been added to the correct campaigns and they've been added to opportunity noow right so we just did that and o have gotten a noow tag which I'm sure they've gotten yeah there we go noow tag okay awesome so here's how you handle can cancellations another very common thing that will happen daily people who cancel appointments or request to uh to reschedule so if they request to cancel due to some things coming up which we call Standard cancellation just go to appointments and change the lead from confirmed to canceled after that they will be added to the cancellation Campaign which is a bunch of follow-up campaign scheduled to get them to Rebo right so if it's just a standard hey I can't come by at 10: a. m. um hey I can't come by at 10: a.
m. or hey I would like to cancel something like that just a simple cancellation with not a lot of a context the simple thing you're going to do is you're going to go to scheduling you're going to go to appointments and this should be a confirmed and you're just going to press cancel bam super simple and it's just going to I'm just going to refresh it again and you're going to want to check these things with high level as well because you know it is still a pretty new software when recording this um and sometimes you know for some reason things just don't work out you know 99. 9% of the time they do work out and everything RS fine but you always just want to check all right and then you're going to go to conversations um and going to go to that lead and you know they should be added to the Drcancellation and the opportunities is no show right now but it usually takes a minute or two um to actually refresh right so it actually takes a minute or two to refresh the opportunities so um and of course going from noow to Drcancellation is not something that will happen um going from no show to cancellation is not something that'll happen so um for you when you go to confirm and then cancellation the opportunities should change um from you know no show to uh you know cancellation and the opportunities should go from no show to cancellation as well um okay so if they're canceled but they give you a time to reschedule just manually manually respond to them and go to appointments and reschedule that meeting you know this is going to happen a lot like you're going to have a lot of cancels but actually all reschedules you know if people are you know just you know being you know being nice about it so you're just going to respond like hey no problem you know they gave you schedule time say they they wanted to they would uh they were scheduled show up for Monday 10: a.
m. and they want to do tomorrow 10: a. m.
or I mean Tuesday 10: a. m. you're just going to say like in your own words hey no problem I will reschedule um reschedule you for tomorrow 10 a.
m. right hey no problem I will schedule you for tomorrow 10 a. m.
you're just going to send that you know and then you're going to go to appointments reschedule and just going to do you know whatever time uh you're just going to want to change the time so say it was Thursday you know November 21st you're going to just do Friday 11:00 a. m. you know doesn't matter this is all up to you and you don't want to change anything for this and just going to press save and going want to refresh again just to make sure that you know this lead is now confirmed bam there we go it's confirmed you're going to go to conversations you're going to go to that lead again and Bam there you go again and as um as you might be thinking hey why didn't they get a confirmation as we don't want this confirmation um this uh actually I need to go to campaigns for that as we don't want the deployment confirmation sent out twice as you can see um allow multiple isn't on as this is a very Bland robotic message and if they've already gotten this once you don't want to send it out twice as we probably already know if they might bring a buddy as or or or not and you know sounds good I just save the spot for you like this is just a bland message and we don't want to send that twice if this is already second time them booking an appointment so that's why you just want to respond to this manually and um this should be changing as well in just this should change as well in just a minute if it doesn't change you're just going to want to do appointment set right and just change the opportunities in the conversations tab to appointment set if they added a bu just do the body right so sometimes that does that might be a glitch um and you know you're just going to pick the pipeline and just do appointment set and just update it yourself manually um which isn't a big deal at all and then you know should go to appointments and Bam there you go lead and the no show tag is there so the lead no showed once which is um you know that happens um all right so for special cancellations and when the pro um uh you know if they cancel and ask if they can reschedule just manually reply to them and try to reschedule the meeting so yeah sometimes they're not going to give you a straight up time so they're just going to reply yeah no problem what time would you like to come uh would you like to come by uh instead and then you're just going to wait um so instead of um instead of adding them so if they uh if they send you you know like a hey I can't come by can I reschedule don't add them to the noow campaign just as you can see um don't add them to the no-show campaign as you don't want that that automated text sent out you're just going to reply like yeah no problem um what time would you like to come by come by and then you're just going to wait for their response and once they respond with say 10 a.
m. that's when you're going to go to the appointments and change the confirmed meeting to a reschedule meeting like when they want when they ask the question to reschedule in the first place you're not going to ask them to no show all all canceled in the first place as we're just waiting for that reschedule time but you're just going to want to do that manually okay and once they've done that you're just going to go to appointments right and reschedule okay um so for special cancellations uh where the prospect cancels and you personally believe that the automated text campaigns for cancellations are too robotic and don't fit into the conversation add the prospect to canel and go to conversations and remove them from the cancellation campaign after that respond to them manually with a more fitting response and try to rebook the deployment so sometimes cancellations can be very very personal like you know um kids are sick or you know problems at work or you know some pretty emotional things um and you're just going to want to make sure as when we go to Drcancellation or FB cancellation they're both the same so I'm just going to go to Drcancellation right this is the message hi sorry had this will be sent out 7 hours after you've actually put a certain appointment into the canceled campaign sorry had to rain check I can reschedule you no problem when you think you might be might be a better um time to come for you to come by so if you think this message is fitting for the cancellation in the first place just add them to the um cancellation campaign and you're ready set you're ready to go if you don't think if you think this message doesn't fit the conversation and the cancellation and the cancellation message you're going to want to do this so um you're going to add them to canel again so I'm just dis lead is uh going all over the place but you're just going to want to do that you're going to refresh again you know just to make sure that um you know they've been add to canceled and what you'll see is what you'll see is Bam they've been added to um you know say you know that their kid is sick or something and they like to reschedule or they they want they'd like to cancel right um and you don't want to you don't want these you know these data uh these Drcancellation messages which are robotics sent out um what you're going to want to do it's very simple is you're going to go to that lead and you're just going to remove Drcancellation campaign from this from this tag and now no um they are still in you know the cancellations opportunity they are still they have still been cancelled but now no scheduled messages there's no um messages that will be sent out right and what you're going to want to do for this if they you know if you just if you think the message just doesn't fit the conversation is you're just going to want to reply to it personally in your own words right so oh so sorry to hear that or like sometimes you know people pass away whatever just going to you know reply in your own words and um try to get the reschedule um try to get a reschedule time manually through manual text right once I've done that you're going to go to um scheduling again appointments and then you know reschedule right um okay uh so yeah um next thing is body added this is pretty straightforward sounds good I just save the spot for you and I'll see then if anything you know this is the message that we send out when they actually opt in right for um an appointment and they actually give you a time this is the message we you like me to add a plus one so you can bring a friend yes very simple um yes uh yes I would like to add a buddy thank you so much um yes no problem you're just going to they're going to be added they're going to be in you know D uh they're going to be in appointment reminders and all these other C they're going to be in a bunch of other campaigns once they've actually confirmed the meeting um but just because for for this video there won't be in any campaigns right now what you want to do is if they just say yes to a buddy very simple just go to if it's Facebook or if it's Dryou know if it's Facebook FB body added if it's DrDrbody added and you're just going to press add you got it I had a plus one see both then that simple and you're good to go and um you know because we put them you know and it should change the opportunities as well just because we're messing around a lot you know these opportunities might change a little bit um but this should be or if it's a confirmed meeting there should be uh should be automated from um this should all be automated and this what I'm doing right now should be automated and once you've done that you've added them and this message has been sent out the opportunity should change from body added um from conf you know confirm meaning to body added and you'll see that the um oh yeah because I didn't I didn't actually change the value um you know value is going to be double obviously because there's going to be two people um just going to update that and Bam um now for me it's adding double just because I'm messing around so much with this so it's obviously changing a little bit if it's if um if there's a lead double there you go you get the point you know they're going to be added to buddy and you know that's it and that this will all be automated so I'm just kind of messing around with this software right now um and I honly recommend for you kind of just messing around with things just so you can understand the process right um so that's just loading and stuff let me just make sure that this is all uh yeah so I just kind of deleted did that twice now which is uh maybe not the smartest thing to do in the world but that's fine um this is all just for example purposes all right um yeah so as you can see they aren't in any opportunities now or any campaigns all right so uh no no actions required just respond manually with a f minut no problem see tomorrow or see you on Friday something like that super simple um questions so prospects will have questions just respond to them manually and don't sound like a robot like where is it at do you guys offer this um do you guys you know have a bar uh uh you know do I need to show up any earlier anything I need to bring with me a towel you know guys you guys will you'll see these questions pop up out of nowhere and they'll you know this is very simple just respond to them manually you know through uh through high level just don't sound like a robot sound like a real person add emojis and stuff like that and um yeah that's really it that's just questions super simple um opt outs and unsubscribes this is this will mainly happen for Dras you know some people just for database reactivation and some people just don't want to receive um messages out of the blue and some people just say unsubscribe or stop messaging me right um and very simple you're just going to go to conversations from the person um that you know requested unsubscribe for instance um you know they just messaged you unsubscribe they just don't want any more marketing messages which is completely understandable um and you can uh you can respond uh so yeah and very simple what you're going to do is you're just going to go to right here and press this button right here which is do which mean D and D which means do not disturb op out marketing campaign and after that they won't get any messages from you in the future 6 months from now you know tomorrow they won't get any message from you anymore right um You can respond to them maybe you know them right you know them personally and they might just think that you're some random company just messaging them you out of the blue but they might you might know them and you might understand their situation more this is kind of up to you and you can respond to them um if you want maybe they just don't understand but most of the time be ethical about it and stop sending messages but you can send them a messages and maybe try to book uh have them book an appointment you can try if you want um because some sometimes when you when you respond manually to an unsubscribe that it'll change the conversation entirely as you know a lot of prospects just think you're they're talking to a computer and when you just say like hey um Kieran sorry um is you know just something something like something um something that is that people will know isn't sent by the computer um that'll can change the conversation a lot so one inlaw SE so this is for leads who've actually entered and and you've made the sale or you haven't right super simple um you're just going to go to I'm just going to see yeah so um this is super simple actually um it's just in the opportunity section so for me I'm just going to add this um add this guy to an opportunity actually um I'm just going to just so I just so I can show you what it would look like for you I'm going to add it to in simple campaign um the appointment miners um oh yeah what I'm just going to do is I'm just going to schedule him in um in the Drcalendar for Tuesday you know 9:00 a. m.
this so fine all right send that out then they should be added to some campaigns bam there we go Drappointment reminders okay um now there should be there should be an opportunity bam new opportunity so you can give this to your salespeople you know this can be an action that your sales people will do or youjust yourself very simple um you're just going to press opportunities on the lead that you've just closed or not closed and you're just going to press status one lost or abandoned I would if I wouldn't touch abandoned you know just be just be decisive about it it's a lose or it's a won so we've won nice we've won the sale and you're just going to press update and Bam no more opportunities you're going to go to dashboard and you'll see one Club closed bam nice conversion rate 100% obviously because we've just been having one lead but that's amazing what that's why you want to follow the steps in this video and in this sheet as if you're following it correctly these numbers will all be very accurate and you'll see your exact conversion rate your exact pipeline value the opportunities you've got the amount you've lost exactly how many people you have appointment set exactly how out of how many of those people have buddies how many cancels you got and this is great because you can really see really know your numbers and you know knowing your knowing your numbers grows a business guys um and that's why the dashboard is amazing so templates this can be um you know people resetting their pass you'll see this a lot as um you know I'm just going to go to a campaign just to show you why um you have Facebook lead ning so there's people who will opt in for you know a certain offer um and this is the message thanks for signing up for a 10day pass your pass is set to start tomorrow what time do you think to might like to come by some people don't have time tomorrow and you know they'd like to reset the pass right because they still are very interested but they just don't have time in the next couple days and they don't want the 10day pass to run out before they get a chance to um schedule right so um and this is the same I think for Di nurturing if my memory serves me right um let me just see uh yeah so let me just go over to di nurturing there we go see done I resered the past few and it's like say they replied to yes please but they're out of town or they're on business meetings or really don't have time that week done I reserved the past few and it's said to start tomorrow see again that tomorrow so you'll get a lot of oh I can't come tomorrow is there a way I can you know start my pass on uh next week Monday and that's obviously completely fine um and this is where a template comes in hand so you don't have to manually respond to these messages constantly um and we have a couple of templates um day four so this is when a customer um this is when a customer request a time that is sadly just full right and we've got a template for that so you don't have to manually write that out we've got a reset and we've also got a Time taken so there's two there's two for you know that can be a specific time um in a day so say they request Thursday 10: a. m. and you can and that is taken but th Thursday 10:30 a.
m.
