So now we're on the invoice page. Again, this is just meant to be an overview. There are more features that aren't shown, but we're showing the workflow and the popular features.
So here is the job we've been working on. We can see that this is only partially completed cuz we have the other hyphen 2 job that we still haven't worked on. And you can expand and it will show you the statuses of all the jobs.
It'll show you the shipping detail, any file that was uploaded by the customer. And from here you can take payments. So you can take a manual payment if the customer tells you they're paying by check.
These are payment methods that can be added. It could be shown in training. You can also take a payment online if the customer calls you and they want to give you their credit card or if you have the card saved because the system will save previously used cards.
You can also if you've set up our POSOS, you can click on pay with POSOS. it will connect to the POSOS which I don't have connected here and the uh Chloro device will show that total amount and you can scan the card or insert the card and it will mark this as paid and of course you can take from here partial payments same as I showed before for orders and you can if if the customer wants you can send them an order confirmation you can send them a text message with a link to the invoice and if is needed you can cancel the At this point, most shops click on send invoice. When you send the invoice to the customer, it will load the template.
And there are different options on who the invoice can be sent to. You can send by email or by text message. One more thing to to note here is the same as with estimates and with art approvals from the main settings, you can set it up so the system will resend the invoice email until the customer pays.
And from here when you click on send invoice like was shown it will load the template and let's click on send email. So, this will send the email to the customer. Of course, it's all being sent from your email because we've set up your SMTP.
It will show you how many times it's been sent, how many times it's been viewed. It wasn't shown in the estimates and the design videos, but it's the same for those. We show you how many times it's been sent, how many times they've been viewed.
And let's now use the copy link so that we can log in as the customer, go to Incognito, and see what they see. So again, the same as with estimates and the same as with art approval, it will log the customer into the portal. Since we used the shipo, they can click on tracking status and they can see the status of the shipment if this was live.
In this case, we're still showing the pictures. Some shops really like this because it shows you see it shows the arts that the customer approved. So it's a nice feature.
It can be turned on or off and the customer just clicks on pay online. They can put in their card. They can select previously used cards.
They can also pay with AC and they can download a PDF of the invoice. When they're ready, they pay the invoice. They can also go ahead and click on invoices from the lefthand menu to see all invoices that are paid or unpaid.
Again, this is a test site. You can also, and this is the same for everything in the system. it just hasn't been shown.
You can define what columns are shown in the portal to the customer. So maybe you don't want to show them a field like created on just as an example. There's more you can do here.
You can set up the expiry date for the invoice, what the expiry date is because obviously you don't want the expiry date set on the estimate to be the expiry date on the invoice. These are all things that can be defined in the settings. From here though, from invoices, not only can they see the invoices that are paid or unpaid, they can also pay from here.
They can also click on view to get that view that we showed that just loads the invoice and they can pay. They can also from here they can go ahead and they can also do this multiple selection. And we've been told by shops that there are many customers that use this feature and like it.
And they can also do a bulk online payment as well. They can go to statements and they can get a full statement of all invoices that are overdue because if this is set up with net terms, they won't see the invoices that are overdue. It's another setting.
You can see nothing is ever paid in the system because it's just a test site. And they can pay their full balance. And there's more that could be done here.
The system can send the statement automatically to the AP person every month. All these workflows are all things can be that can be discussed on the training call. They can also go to order history which will be shown in another video.
