It Took Me 90 Days To Build This Automated System…it’s yours for FREE.

hey guys it's Lucas in today's video I want to present the thing I have been working on for the last three months and this is none other but the most versatile fully automated content creation system I went through so many versions to get to this point where it has so many features that I don't think any page systems can compare additionally I also created tutorials on how to use the system Sops and procedures and this is not just a content creat system it's also a file organizing system productivity system and task management system all in one and the best thing is I will give it to you for completely free no caveats no premiums everything will be included now I know there will be a couple of you saying no why would you give it away for free when you can charge at least three grand a pop well that's true I could make a bank from this system but I know most of you would not take the deal if it cost 3 to 5K and that's something I was not okay with because this system will change your life your social media game and your business and do not feel sorry this is what I love doing I'm recording this video with a smile on my face I love solving problems making automations and systems to help businesses and in the end help people running businesses but if you really want to help go use the system have fun and down the line if you want to automate other parts of your business you can just book a call now the first thing I want to talk about are all the features of the system so you know exactly what's in it for you then I live build a simple automation where you'll get around five content pieces with a single click and after that I'll explain how to get the system I will put time stamps in the video if you want to jump in head first and get the system now let's start with the overview I will be very brief and show only the main features but do not worry you will get all the video tutorials so you can use the system with confidence it's only right if we start with the file management system right here in Google Drve but before we do I just want to mention that the system can host unlimited number of clients if you are a Content agency owner so that's just another feature it has now I don't want to brag but I want to mention that this system features the most advanced content management system I have ever seen you upload the files right here in the folder and you are done I of course don't have to mention that it auto moves files creates new fold ERS populates the CRM but what I do have to mention is that it handles unlimited number of files even from different content pieces next it groups files from the same content under the same folder which is very important if you have a roles B rolles audio files and so on you usually have multiple footage pieces for the same content or let's say the same video and it's very important for the system to not label them as separate content pieces next it handles all image video and document files so so whatever the file type it will be working now for the juicy part it does not matter how you differentiate your files whether it be with numbers let's say video One video 2 video 3 or with words let's say video a roll video b roll or video sunset or combination of both the system does not make mistakes the next thing it also Auto takes your files with the media type it can be horizontal video vertical video audio or image not last but not least it automatically populates the CRM with all the data such as folder IDs content IDs web view links so the data is ready for you to use further really quickly I just want to glance over the brain of this system this is built in make. com and there are two parts to this this is the first part and this is the second part of course everything runs automatically you don't have to touch anything all you need to do is upload your files to Google Drve and everything will be done now that you understand the first part of the system or let's say the file management part let's head over to air table and let me show you the second part of the system this will be insane right out of the gate this is the view you'll see here is where the content will come in once you upload it to Google Drve and as I mentioned before I created video tutorials on all of this so don't be worried if you don't understand something at the moment I will just quickly glance over this I will not go in depth now as I said before this is where the content will come in every single field will autop populate only thing you need to touch is the apply workflow as you can see it is right here in Orange here on the left side you have different views to really accommodate all your needs for example your content will always come in here in the dashboard view this will be the place where your rock content comes in and then you apply workflows just click here apply any workflows you want and then that content will move into the content table while I quickly go over the rest of these views I just want to really quickly create a dummy content and I will apply a workflow just so you can see see how this works give it a second to load and let's apply the raw to YouTube workflow this is also just a dummy workflow do not worry about that so next you have let's say the media view right here you only have your media then you have the artwork view you only have your artwork then you have the copies you only see the copy right here then you have the editors view so let's say you have five editors you can really easily duplicate this view go here to the filter select your editor and then you can see only the footage they are working on at the moment the same thing you have for art designers and copywriters and then you have publishing right here if something will be published today if something will be published tomorrow if something will be published this week and then you have the scheduling as you can see this will be published on 14th of October and by the way the publishing date feature is just insane I can't wait to tell you more about that but let's see the rest first of all the calendar right here you can move move things if you want and then here you can see all the things that are already published and let's say we have the brand view let's say you have a couple of clients you can really easily see only the footage that belongs to that client now let's head over to the content table and as you can see I just did a single click I applied the workflow and right here it created a new piece of content so as you can see this will be a horizontal video we have the editing deadline oops we have the publish date we have some media statuses in progress and we have some buttons you can click on for example once the folder is done once the copy is done the image thumbnail or media you can just click on it and you can watch it it's really really easy and then we have the frame IO buttons as well if you use frame IO as a service but of course this is just a dummy version we don't have the folders we didn't use Google Drve we didn't use file management so nothing really works here but as you can see with one click it created a new piece of content now enough for the content table let's go to the control panel where the real fun starts the control table is basically the brain of this system so imagine the rest of these four tables feeding into the control panel and the control panel feeding into the content table where you apply the workflows to the content so let's go option by option as you can see for every workflow you can add Unlimited Custom actions just click on the plus right now I have some dummy actions some are unnamed but the ones that matter are audio to X audio to Facebook audio to LinkedIn as you can see now this workflow will execute both of these custom actions right here under media type you can select horizontal video vertical video text image or audio for the social channels you can of course choose as many as you want I currently have Tik Tok YouTube LinkedIn Facebook X Myspace you can really choose 2 three five or one or you can leave the channels empty if you want to apply the workflow to the content but you don't want to create a new content let's say you want to message an editor you will just click on the plus icon select the custom action and leave the channels empty it will message the editor but it will not create a new piece of content now next to that we have the child projects now the child projects are really cool because they allow you to to group multiple workflows into one so let's say I select the raw shorts and the raw Audio Only podcast so once I apply this one the raw YouTube video it will also execute the raw shorts and the raw Audio Only podcast after the first one is done next next to the child projects we have the parent field and now this is really an amazing feature the parent field allows the workflow to be executed only when the parent is done which comes in very handy when you are waiting for C GPT to finish writing maybe you want to use the same transcription and of course the workflow will not wait if you don't put any conditions so for example if I put here the parent to be the raw YouTube video so this workflow raw to shorts will not execute even if it is a child project until the parent the raw YouTube video is done so right now I'm seeing that we are in the simple view let's go to the extended view where we can add some people right here in the extended view after the parents field we have the brands and this Brands field is only informational of course our file management system will take the content with the right brand but right here if you have multiple Brands and you have maybe hundreds of different workflows you can choose a brand and then you can filter right here on the left side by a brand next to that we have our editors our people as you can see you can add as many as you want you have editors art designers copywriters quality control and founders of course you can change those people I will show you that in a second here in the people's table but before I show you the rest of these tables I want to show you probably the best feature I have ever seen in a Content system I worked so hard on this and this took me probably the most time and you will see in a second this is just pure Insanity you can schedule things however you want first of all you have upload days you can choose from Monday to Sunday whichever days you want after that you have upload time and what's crazy about this you can name it like this or like this or like this or like this or like this whatever you want the system will figure it out next we have something I like to call the content limit the max content per day max content per week and Max content content per month this comes in incredibly handy when you make content in bulk let's say on a Sunday you do 50 shorts you don't want them to be scheduled on the same day or the same week you want them to be scheduled let's say over the course of a month or two months you can adjust that right here however you want if you want four shorts per day you put in four if you want 16 per week it will fill out Monday Tuesday Wednesday Thursday and for the rest of the week it will not schedule anything and last but not least we have the editing duration and the review duration now what's crazy about this that the system will first of all take the buffer of the 5 days and the 5 days and then it will look at your other conditions and just then schedule the content and I don't know if this caught your attention but we are doing all of this on a workflow basis I'm so excited about this let me explain for some of you it might be more logical to do upload time Max content per day and similar on a social Channel basis but the problem is that you can have videos 5 minutes long an hour long or you can have different series of videos that's why the Project based editing comes in clutch for a 5 minute video and an hour long video of course you don't have the same editing duration maybe you don't even have the same editors maybe you have different upload days different upload times you can change whatever you want on a project basis and not on a social media channel basis however even if we are adjusting settings for the scheduling on a workflow basis the scheduling is actually done on a social media channel basis so what does this mean this means that if you have a YouTube video scheduled on a 15th of September and you make a new workflow that allows only one YouTube video per month your new YouTube video with a new workflow will be scheduled in October because the September was filled up by your last video the bottom line is this system gives you insane flexibility in whatever you do all of this and we are still not done with the scheduling I made another little script that automatically reschedules your content based on all these conditions let's say there is a problem and your editor can't complete the work by the deadline you will just go to the content right here under the content table select the publish date change it to whatever you think the work will be done let's say the 24th of October and without you do anything it will automatically reschedule the content to accommodate all of these conditions so let's say you move your content to Wednesday and your upload day is only Monday it will actually reschedule it to the next Monday of course if these Max contents are actually eligible for that of course this feature can be disabled but this is really for the people who don't have the time to look at the max content per day max content per week they don't want to look at upload days and they don't want anything overlapping as well they just really quickly reschedule the project to the date they know it will be done and it does everything else automatically they don't have to worry about overlapping content and this will be so insane for you guys who don't have the time now I want to show you some of the other tables right here under the channels nothing to write home about you can add your social channels and your platforms of course you have the inactive View and the Myspace is inactive for this one under the brands you can add as many clients or Brands as you want right here under the people table you can add all the stuff you need we have some different views like editors art designers copywriters and so on you can also add some additional fields to each one of them let's say you communicate with slack you can add some other fields let's say use clickup or whatever else you want and lastly we have the custom actions this table is also pretty simple as you can see but it gets the job done and I want to say that this is basically essential to the whole system right here under the web hook URL you would paste the web hook you get from make and in a second I will do a step-by-step live workflow so you can actually see how everything is done the last thing I want to show you are some of the automations some of the brain power that actually runs this system so let's click on the automations tab as you can see we have quite some automations right here if you scroll down and honestly I would not touch anything right here other than the auto rescheduling this one reschedules audio content with the conditions you put in the control panel so let me just quickly show you some of the scripts as you can see I'll just scroll for a bit and it does get it does get intense I won't lie as you can see right here we have the parent one we have quite some code and honestly this is really needed because I wanted this system to be the most versatile most advanced most robust really the system where you can do anything you imagine and I don't know maybe if you go here we have some more coding as you can see if you scroll down right here under the update publish date you have some more coding this one is also pretty intense as you can see and the auto rescheduling of course this one is not too bad as you can see all of these automations are working besides the two the frame iio Automation and the automatic publish content automation now the frame IO automation will be coming in a few days by the time you're watching this probably this is already out and I know this is just so important for content agencies and you will get the tutorials on frame IO and the whole frame IO system I'm actually currently working on some apis and this will be just insane this will be probably the best frame iio system you will ever use and I'm also working on the automatic published content automation this one will be also pretty crazy right now you can use something like metric cool but that costs 100 bucks a month I will do a version where you can just post content automatically using our publish date built in in this system and everything will be completely free so I can't wait for that this will probably come out in maybe like two weeks from the time the video is out but the first priority of course will be the frame IO because I know a lot of content agencies and even some other business owners really do use frame IO it is a great great tool I cannot recommend it enough and I know there has to be an integration for that in this system or the system would not be complete now once you understand the system let's create a little simple work flow that will get us let's say five different content pieces from a single click let's hop over to figma so I can just really quickly explain everything we'll be doing as you can probably guess the first thing I want to do is upload my video to Google Drve then I want the content management system to organize everything and actually to give me the content I can use in air table then I want to create different workflows with custom actions channels and scheduling after that I first of all want to create a transcription from the video and with the transcription I want to create content for X LinkedIn YouTube Community a blog post and of course a Facebook post so this is pretty much it let's hop over to first of all Google Drve and let's upload our footage right here is my folder I will just drop in some footage there we go the video is uploaded and now our content management system will actually take this and place it wherever it needs to be welcome to air table as you you can see my video was named cooking video lemon chicken and I will actually first of all delete this test one and under the content view I will delete this test one as well so now of course we want to apply a workflow but we don't have any workflows because it didn't create any so let's head over to the control panel and let's start building our workflows instead of being in the extended view I will go over to the simple view just because I won't have any sta so let's really quickly click on the plus icon and let's name this one let's say transcription plus YouTube Community just like that let's send another one I will check this one out just a bit uh X content LinkedIn content and I think this actually goes together if I'm not mistaken let's click on the plus icon Facebook content just like that we have the X link in Facebook transcription and I think we need one more we need the blog content I will just name it blog post I think it it works fine just like that so the next thing we want to do is add some custom actions and what I really like about this content table setup is that it really guides you from the left to the right to do exactly everything in order as it needs to be done so now for the custom actions let's head over to the custom actions table and let's add our actions so let's say first of all we will just name it X we will name it LinkedIn then the first one we will be transcription uh we need I think Facebook and lastly we need blog and really quickly I will just group them the group will be one and if we head over to the group view as you can see these are all group now and the group name is one just like that I think this will be just kind of a more convenient view now of course we need the web qls for all five of these so let's head over to make. com and create five different scenarios so right here I created a new folder let's click on create a new scenario standard procedure let's name This One X big X web hook custom web hook I will just really quickly click on ADD name it X click on advaned settings and make sure the Json pass through is on save it and you can of course copy it manually or copy address to clipboard click on Okay click on Save head over back to air table and paste it in now we need to do this four more times so let's just really quickly go back so if we don't want to create four new scenarios the way we did the first one we can really easily click here on the drop down clone this one name of the new scenario let's say LinkedIn we can add a new web hook we can also name it LinkedIn show advance settings Json pass through is on save it keep the states of any new modules the same we can actually turn this to yes and click on Save just like that we duplicated this one click on edit click on the web hook copy address to cboard paste it in for the LinkedIn and you pretty much do the same thing for the rest of these so I will cut this out and I will come back once we have all five web hooks all right so I created five different scenarios in make and pasted five different webook URLs right here let's head back over to the control panel and let's start filling out some of these custom actions transcription scroll down to this transcription view X content it was X now the LinkedIn content this was our LinkedIn action Facebook content was our Facebook action and the blog post the blog action now for the media type this will be text for each one of these so let's just very quickly select text just like that for the channels we can of course select YouTube we can select right here if you scroll down X LinkedIn will be LinkedIn Facebook you can already guess Facebook and the blog post we don't have that that one I will just select my space for this example it does not really matter because I will not actually be posting this now for the child project this is where it gets really interesting of course we don't want to make five clicks when we can do only one we want to actually select this first workflow transcription plus YouTube community and we want all the others to follow subsequently in a waterall fashion so let's select child projects scroll down and let's say first of all X content let's say LinkedIn content Facebook content and last but not least the blog post now the parent this one is really really important because as you will see these projects will pretty much play out immediately after the first one but our transcription it does take time C GPT is not instant so we really need to make a condition for this transcription to actually be done and once it's done it can trigger the rest of these workflows so the parent for each one will be it will be the transcription plus YouTube Community for this one as well just like this and just like this as you can see this now works just fine now for the scheduling we really don't need to do anything because this is just an example but I can probably do something like Tuesday Thursday Tuesday for this one Monday and Friday for this one and let's say Saturday upload time let's do 700 p.

m. Max content let's say two two and for the editing duration we can leave them pretty much at zero because this will take zero time to make all right now our control panel is finally done all right so that's it for the air table everything is set up correctly everything will work just fine but before we apply these workflows to the content we actually need to head over to make and create our scenarios welcome back to make I'm right here in the transcription scenario so the first thing I want to do is add another module air table and get a record now as you will see in just a second this will ask us for the record ID and we don't have that one so first select your base this will be for me it was the example base and select the table and the table will always be content now as you can see this will ask us for the record ID and we don't have anything from the web hook because it was not populated so what I want to do is click on cancel unlink this one oops unlink it just like this let's run this ones and let's actually call the web Hook from Air table so back in air table click on the custom actions go back to actions I want to create a dummy action right here where it has the transcription I want to really quickly copy it and paste it right here let's go to the control panel let's add our dummy workflow let's apply the custom action wait for it to load scroll down the dummy action you don't have to touch anything else go to the content create a new dummy content just like this and let's apply our workflow and this was our dummy workflow and now of course this will not do anything major but it will do one thing and that is populate our web hook here just in a second and there you can see everything is populated just fine as you can see the record ID this is what we really look for this is right here of course we also pass on some other fields but this is not really important at the moment now let's just click on once again they get a record module select your base for me it was the example base select the table this will always be content and the record ID simply click on the record ID just like that now we can use any fields from this record and we can really play around with anything so what I want to do is add another module Google Drve and I want to download a file that we uploaded that is our content from Google Drve so we can use it to create some other things now if you do use the get the record module in make you will see quite a lot of these options that's because if you head over to table as you can see there are 104 hidden Fields next to this few that you see right here but this is not really a problem we can just really quickly search it and the second oops let's just click on this and the second way to get some of these options some of the options you actually frequently use will be right here with the web hook as you can see I coded it so quite a lot of these get passed on and you cannot see right now but all the people and all the additional fields and the slack ID so if you go back to air table and to people all of these fields with the people we will get also passed on to the web hook so this is just another convenient thing to have let's just click on okay and now we have our file we can convert it further the first problem we face is that the CH gbt whisper only supports videos or audio files up to 25 megabytes and my video is I think 45 so let's add another module Cloud convert just like this and let's convert a file you can make around 10 converts for free per day so this will be more than enough for most of you the input file let's select upload a file as you can see it Auto Tags it the format uh I want to select the I don't know the input actually let's just do this one it's really simple and the output we definitely want MP3 now the file name will be from our download a file name Do MP3 just like that all right and and let's download a file yes click on okay why is this red let's see one more time all right the warning is gone let's save it and now we have our MP3 file just like that next thing we want to do is edit CH jpt module scroll down let's see create a transcription by Whisper Cloud convert convert a file model whisper one and the prompt we can leave that empty the whisper knows what to do and the response format will be text click on okay once again let's click on Save now the last thing we want to do as we said here in the control panel this will be our transcription plus the YouTube Community workflow so let's add another module open AI create a completion now for the max tokens let's say zero so we have the maximum model CH GPT 40 the newest one and actually this one will get 50% cheaper in the fature so there is literally no reason to use 3. 5 anymore and for the message you can put put anything you want I will just do something really really simple so create a YouTube Community short post from this transcription and let's select the text we will get from open AI this will be our actual transcription let's just click on okay and what I want to do now is just really quickly rename this and let's say YouTube community so everything is a bit more tidy just like that now the next thing I want to do is add another module I want to create a Google Document so let's create a document the name can be the name of the file and let's name it YouTube Community post just like that and the content will be the result from our chat GPT now the new document location can obviously be anything you want but let's do a cheeky thing and let's map this and select if you scroll down right here from the air table we can actually select the cont content folder ID content folder ID right here and it will be in the same folder where our content lives click on okay let's add another module this will be our final one air table let's update a record let's select the base example base table content and the record ID will be from the web Hook from the very beginning now we need to actually do a couple of things here most of these will be empty but what I want to do first of all scroll down right here under copy select the web view link from the Google Document then we want to select the parent helper we actually want to unmap this and select done this is very important if you do not select here done the system will not know that this first step is done and it will not execute the rest of the workflows now now the next thing we need to do we have the transcription field so let's just really quickly paste in the transcription just like that and let me check if we need to add anything else and the last field we want to populate and this one is also really important is our record ID helper so let's just scroll down and select the record ID right here from the web hook now this one is really essential do not forget this one because this record will actually host the trans transcription and all the other workflows we use this same transcription we will not rebuild these three modules so you need to have the record ID that you can call in the next workflows that we build actually in the next scenarios so you can get the transcription so let's just quickly click on Okay click on Save let's shift drag copy modules and let's head over to our X scenario contrl + V paste it in and let's connect it back up as I said we will delete all three of these and now let's just quickly connect everything it is already connected so let's just click on auto align so everything is smoother let's just save anyway and let's see what we need to change so let's go over modules one by one the air table get the record as you can see this is grayed out but once we activate it it will actually be working now before we do anything else let's just quickly move these let's add another module let's add air table get a new record and with this one we will get the record that we use for our transcription so let's select example base click on table content record ID now this was the helper if you search for it right here the record ID helper just like this click on okay and now we can play with our transcriptions let's go to the CH GPT module and create a x short post I will not over complicate for this example but if you really want to do this properly you will have to make a much better message we have a lot of agents in the community if you want to check them out you can just copy and paste them now of course we need to select the transcription but the problem is that this is only showing us the module 9 and we need to use it from the module 16 now this can happen for a few reasons but let's see if we head out and if you reload it if it is working and it is awesome and if it's not working delete the module and add it back up once again so let's just select the transcription just like that everything else can be as is for the Google Documents we want to use the let's see the content name but not from the 16 actually it can be from the 16 but we lose it from the number nine because it is the same content they they will have the same name now the content this is all right and everything else is good now for the update the record we actually want to use use the record ID this is correct let's scroll down let's see the record ID helper we do not need the transcription we do not need and for the copy it is not our 15 web view link it is actually 14 so let's just select the web view link just like that and the parent helper we can leave it at done everything else is all right let's click on okay and let's click on save our X is now finally done let's click on to align so everything is more clear and simple and we pretty much need to copy and paste this three more times so let's head over to the LinkedIn scenario I copy and pasted all the modules from our last scenario so let's just connect them back up let's see if everything is working this one is fine the get a record is fine as well let's see the X we want the transcription from the third and we want actually a LinkedIn short post just like this click on okay and we can rename this one to link 10 very nice now for the Google Documents let's see if everything adds up result 4 everything seems to be fine and now for the air table update a record this should also work let's see five web view link this is all we need just like that click on Save LinkedIn is done let's do the same thing for Facebook let's just paste it in connect it back up let's check everything this one is working this one is working this one is definitely not correct but if we change this to Facebook short post oops just like that this one is now fine I can rename this to Facebook click on Okay Google Documents should be working it is and for the air table module everything is fine let's click on Save let's Auto align everything just like that and last but never least the blog scenario let's paste everything in let's connect it back up let's check everything this one is working working this one we will need to change create a full length block post just like this from this transcription I misspelled this let me just correct it click on okay let's rename this one standard procedure oops what is this my spelling today I have no idea now the Google Docs is working 4 to to this is fine and for the air table let's scroll down the cop is right here awesome everything is working let's Auto align it let's click on Save and all of our scenarios are done now before we can test this out we need to actually run them if you want to schedule them you can of course select this one but for the testing phase I always run them once so let's go through each one of these and let's run them once make and the last one is transcription just like this now the last thing to do is head over to air table make a single click apply our workflow and see if everything works back in air table first of all I will delete the dummy content we do not need that one let's see under the content if we have anything we do not that is fine so right now the moment of truth if we apply the workflow and this will be our transcription plus YouTube Community everything else should work just fine moment of truth let's start now we will need to give this at least 5 to 10 seconds and we are expecting something here in the done projects so let's wait just a bit and while I was talking right here as you you can see it appended the D projects field with every workflow that will be started now under the content we should see only one workflow and if I scroll to the left oops if I scroll to the left as you can see we only have one and this is really important because first of all we need to create the transcription and then the rest of the workflows we'll use that same transcription now let's head over to make and see if everything is working all right so everything seems to be working we already have the MP3 file now the chat GPT is doing the transcription as you can see if I zoom in it is moving and I will come back once everything here is done all right at this very moment everything here is done let's head over to air table the content has just been created all right let's check in make as you can see the X1 is almost done LinkedIn is now done Facebook is done and the blog post okay this one takes a bit of time because we did ask for a full blog post that's reasonable and everything seems to be done guys this is really really awesome I think this is really really cool now let's head over to air table and check some of our results you can exactly see what channel this is and Myspace was actually supposed to be the blog if you remember and if you scroll to the right just a bit oops why is this not working now if we scroll to the right just a bit right here we can see these copies so I think this one if I scroll to the left this one was the YouTube one so let's see our copy this will open Google Docs so as you can see we have everything right here in the Google Docs and you can use it and refine it further let's check out another one I think this one was for Twitter and as you can see the Twitter is pretty much pretty similar but also different and let's check out the blog post see what we get this one should be interesting and as you can see we have two pages almost three pages of content right here now of course you don't have to do this process every time once you create this from now on all you need to do is go to the dashboard go to your content and just apply the workflow everything else will work automatically now of course I always like to create this content automations like from one click you get five content pieces and so on mostly because it is really flashy but of course you can do so many other things you can message your whole team with one click you can make a new project in Asana or in clickup whatever you use you can fill out Google Sheets you can create documents you can create presentations you can also change this system a bit and use it for productivity you can message your girlfriend boyfriend whatever you want this system is so flexible I worked so hard on this to be this good this great and I think you will really enjoy it now once you saw the system in action let me actually tell you how you can get it the whole system with all the instructions video tutorials Sops and procedures will be right here in my free community under the content system module basically what you need to do is install the content management modules install the air table base and you are set everything is followed by video tutorials you really can't go wrong of course you will get the entire air table setup with all the automations all scripts and every single View and field also I want to mention that in the community you have ai tutorials AI agents business automations and a complete module on how to use make.
