foreign hi krishna welcome to the final module of event management so this module is called event execution and review so everything should be in place now and as we discussed earlier the planning stage for any event is the major major portion of your time and energy but you have to put that time in otherwise the execution of the event you know it's like rehearsing for for a performance the more that you rehearse the more that it just comes very natural and the way that it just unfolds if you don't put the time in in the
beginning then the execution or the delivery of the event there's likely going to be so many hiccups and difficulties so anyway you're all prepared you followed the checklist you're all in order so now is time to execute and deliver the event okay so in this in this uh in this module we're basically going to cover setup and execution of the event supervision of the event maintaining a festive spirit for the event and then we're going to review the event and make plans for future improvement okay so on the day you need to make sure that
your team all arrive early depending on where your event is and what you're doing you may even need to go there a day before because there's something called murphy's law the former temple president in london mahaduti his grace mahadeprou he used to say bhakta murphy murphy's law means anything that can go wrong will and he said with anything that you do there's always bhakta murphy hanging around just waiting to get into the into the middle of things so basically the team should arrive early scope things out you need to meet the key organizing personnel from
the venue from both sides and ensure that all things are in place complete a final risk assessment have a look around make sure that any possible dangers are eliminated or dealt with put that registration day desk in a prime location and make sure it's manned and if something does go wrong which it might possibly do don't panic and before the event starts say a prayer take shelter of the lord and really depend on him supervision of the event this is where your event manager you know the time has come and although he or she is
probably not going to be on the stage but they really really are playing the major role the starring role of this event and making it all happen they have to be present and they have to be contactable and they have to be in regular communication with the organizers and with the venue personnel or contacts the event manager has to be able to monitor the event progress means the stage show also what's happening on stage how things are moving if things are running late and needs to make executive decisions and adjust things accordingly the event manager
has to remain calm cool and collected at all times if the event manager starts losing his his or her cool then things can really go out of out of hand and the event manager throughout must have developed and maintained very very healthy relationships with the entire team if that feeling of respect and appreciation and gratefulness is there then anything can be accomplished maintaining a festive spirit now this is what we want if you're putting on an event usually the mood is one of festivity or or some sort of celebration so we want to make sure
that that event is is maintained and encouraged rather than some difficulties or impediments come and everything winds up you know falling to some low level of mood and attitude and mentality so there have to be several pre-meetings with the event manager and the teams before the day before the big day this is going to ensure good team spirit and a feeling of preparedness the team should feel cared for so that they all care for their guests and for the vips we need to create an environment of cooperation and appreciation as i mentioned earlier then you
have to make sure that everybody is remembering krishna and that they don't forget krishna on the day this is important we have to constantly and perpetually take shelter of the lord knowing that ultimately it's up to him whatever happens at the end of the day and above all really we should have fun we should keep a smile on our face and we should make sure that everyone who walks into that and then feels like they they have the the this is the best use of their time now all that said and done the event goes
off and like i said that is a matter of hours compared to the months of planning that's gone into the event so in order to make sure that we know how the event went and we have a proper assessment of that there needs to be a review process so we can have feedback questionnaires and or evaluation forms and they're a vital way of gathering information that can be done either by paper and pencil on the day depending on the event or later when they reach home they can do it by email or they can do
it by the internet there's so many different types of survey and questionnaire facilities that people can do anonymously now so that we want people to really give their their true genuine feedback on the event that's the only way we can improve and this input this input basically is going to assist for as a reference point for any future events that we put on so we've also included an evaluation form for you there should be a debriefing after the event with your team and basically to conclude and verbally review the event amongst yourselves that should also
be documented there has to be appreciation and gratitude shown to all the team members this is a key aspect any major discrepancies should be discussed and dealt with accordingly and there definitely has to be a financial summary presented at that final meeting so in summary even with the best planning there may be something that doesn't go according to plan at the event but we just try our best to execute the plan encourage the team then follow up on the feedback and implement any improvements that come for the next time we should never become discouraged and
